Privacy Policy
Effective Date: 04 August 2025
At TechLearning (www.techlearning.com.au), we respect your privacy and are committed to protecting your personal information in compliance with the Australian Privacy Principles (APPs) under the Privacy Act 1988 (Cth).
This Privacy Policy explains how we collect, use, disclose, and safeguard your personal information when you visit our website, use our services – including Moodle hosting, development, and support services for Registered Training Organisations (RTOs) – or otherwise interact with us online.
1. Information We Collect
When you visit our site, contact us, or use our services, we may collect the following types of information:
- Personal Information: your name, email address, phone number, company/organisation name, job title, billing details, and any other information you voluntarily provide through contact forms, quote requests, support tickets, or account registration.
- Usage Data: your IP address, browser type, device type, pages viewed, and time spent on our website and hosted platforms, collected automatically.
- Cookies & Tracking: our website uses cookies and similar technologies to improve your browsing experience and analyse traffic.
Where we host or support a Moodle site on behalf of an RTO client, that client’s own users (students, trainers, and administrators) may enter personal information – including training and assessment records – directly into that Moodle instance. In this context, our RTO clients are the data controller for that information, and TechLearning acts as a service provider hosting and maintaining the platform on their behalf, under our service agreement with that client. This policy governs TechLearning’s own collection of your personal information; it does not override the privacy policy of any individual RTO whose Moodle site you may use as a student.
2. How We Use Your Information
We use the information we collect to:
- Provide, operate, and improve our services and website functionality
- Respond to your enquiries and support requests
- Send service updates or, where you’ve agreed to receive them, promotional communications (you may opt out at any time)
- Monitor and analyse website and platform performance for internal insights and security
- Meet our contractual and legal obligations, including obligations related to our clients’ regulatory requirements
3. Where Your Information Is Stored
Our services are hosted using infrastructure providers such as Amazon Web Services (AWS). Depending on the arrangement with a particular client, data may be stored on servers located in Australia or overseas. We take reasonable steps to ensure any offshore storage or processing maintains a comparable standard of protection to that required under Australian privacy law.
4. Disclosure of Your Information
We do not sell, rent, or trade your personal information. We may disclose it to:
- Trusted third-party service providers who assist us in operating our website or delivering our services (e.g. hosting providers, email and analytics tools), under confidentiality obligations
- Legal or regulatory authorities where required by law, or in connection with a client’s own regulatory obligations
- Contractors or partners assisting with project delivery, under confidentiality agreements
All third parties we work with are required to handle your information securely and in accordance with this policy.
5. Cookies & Analytics
We use cookies to personalise content and understand how users interact with our site, and third-party analytics tools such as Google Analytics to track usage and performance. You can manage cookie preferences via your browser settings; note that disabling cookies may affect some site functionality.
6. Third-Party Links
Our website may contain links to third-party websites for your convenience. We are not responsible for the privacy practices or content of those sites and recommend reviewing their privacy policies before submitting any personal information.
7. Data Security
We take reasonable technical and organisational measures – including access controls, encryption where appropriate, regular backups, and server hardening – to protect your data from unauthorised access, misuse, loss, or alteration. While we follow industry best practices, no method of transmission over the internet or electronic storage is 100% secure, and we cannot guarantee absolute security.
8. Data Retention
We retain personal information only for as long as necessary to provide our services, meet our contractual obligations to clients, or comply with legal, accounting, or reporting requirements – including, where relevant, record-retention obligations that apply to our RTO clients. Where we no longer require personal information, we take reasonable steps to securely destroy or de-identify it.
9. Your Rights and Choices
You have the right to:
- Access or request correction of your personal information
- Withdraw consent or request deletion of your data, subject to any legal or contractual obligations that require us to retain it
- Opt out of marketing communications at any time
To exercise these rights, please contact us at support@techlearning.com.au.
10. Updates to This Policy
We may update this Privacy Policy periodically to reflect changes in our practices or legal requirements. The latest version will always be available on our website, with the effective date noted above. Your continued use of our website or services after any update constitutes acknowledgment of the revised policy.
